We feel the most logical way to walk all of our clients, contractors, colleagues and associates through the technology available is to start at the beginning of transaction and carry it through to the end. Where better to start then with first contact? A web presence today is often a point of first contact with a customer or potential customer. A website can provide instant information about you, your company and your services in a low pressure, anonymous situation. As a green initiative, it can reduce or place your use of brochures. Simply hand out small business cards and direct potential customers to your website for more information. It can also provide a means of placing paperless orders.

They offer a 30 day free trial, flat monthly fees for service, and free Toll Free numbers. Their Online Filing Cabinet allows you to receive and store all the documents for a transaction in a private and secure way. Everyone in the transaction has access to see only their documents 24 hours a day, 7 days a week.

Skype

Skype offers computer calling, video conferencing, and instant messaging - free and cheap.

Faxxis

Faxxis offers incoming & outgoing faxing solutions, email & online document management, local & toll free numbers just as the providers above. What sets Faxxis apart is their voicemail capabilities. With Faxxis you can retrieve your voicemail via email. It will be emailed to you as a wave file. Click on it to listen to your message and even save it your computer for future reference. But don’t worry, you can still retrieve the voicemails via phone too.

MaxEmail offers internet fax and voicemail to email services.

eNotarization

The Electronic Notarization Initiative was established on January 30, 2006, to enhance economic development in Pennsylvania, and was the first of its kind in the nation. e-Notarization allows qualified Pennsylvania notaries public to perform notarizations electronically, in compliance with provisions of the amended Notary Public Law and the Uniform Electronic Transactions Act. In January 2008, the Pennsylvania Department of State eliminated the $40 registration fee. If you are a notary public, there is no reason not be registered as an eNotary. More Information and Registration.

Paperless Closings

The industry is moving, slowly, toward 100% paperless closings. Right now most lenders doing eClosings are using a hybrid system. Documents that need to be notarized are still being printed and signed in ink because some states are not yet on board with eNotarization. The rest of the documents are being digitally signed using a computer with internet access. The “signature” is done by means of passwords and clicking “I accept” buttons much like you do on websites now. 

Professionals such as real estate agents and mortgage officers who hold closings in their office will need to consider putting computers with printers and internet access in their closing rooms.

For remote closings, the borrower may have a home computer with internet access which can be used to facilitate these closings. Otherwise, it will be up to the closing agent to provide the necessary equipment. Below we’ll discuss various types of technology and how they can be used in a remote paperless closing.

Laptop

Since laptops are a common piece of technology I will not go into too much detail here. If you are looking to buy one, you’ll want to make sure it has wireless networking. Another thing to consider is a tablet computer. Tablets are identical to laptops accept they have a touch sensitive screen that can be written on, much like a Blackberry. The benefit of this technology in a closing situation is two fold. First of all the screen rotates which could make viewing the documents for multiple people easier. Second of all, it may allow for signing documents directly on the screen. This second benefit would depend on the software for the documents and whether or not the functions are compatible.

Internet Access

Internet access options for mobile notaries include wireless networking capability in your laptop so you can access private wireless internet networks and public Wi-Fi hotspots or a cell phone card. This article from PC World will provide more information about accessing the internet via cell networks.

We may see a trend of conducting closings in public locations that offer Wi-Fi hotspots when borrowers are unable provide internet access. In these cases, it may be up to the notary closer to suggest local locations that would be suitable. Look up Hotspots here.

Some lenders and title companies will require digital signatures be obtained via the use of a signature pad.

eRecording

Recorder's Offices around the country are beginning the implementation of electronic recording. With these systems, documents are received, signed, notarized and sent to the Recorder’s office electronically. All recording requirements would have to be present, including the document image, a digital signature and a digital notary. Once a digital document is properly signed and notarized, payment is calculated and the document is sent via the internet. At the recorder’s the document goes through the same process as a paper document. It is checked for compliance, the payment is checked for accuracy and accepted, the recorder’s endorsement is added, along with the document identification number, and a receipt is generated. Next the document is indexed, the image is stored and the original is returned to the sender. The whole process which typically required many people and many days or weeks, now requires minimal human intervention and can be completed in less than a day.

The cost and time saving benefits to eRecording effect all parties from the Recorder and its taxpayers to the title companies and lenders. Other benefits include reduced document errors, reduced payment errors, and reduced overnight costs.
